Organisation Management and Membership

RF40: Create a New Organisation on the System.

Applicable roles: System Administrator 

Procedure:

To add an Organisation, select ‘Organisations’ in the navigation bar. On the top left of your page, you will see a yellow button, ‘Add Organisation’. 

Fill in the necessary information about your organisation and then click ‘Create Organisation’.

 

Expected results: An System Administrator User can successfully create a new Organisation.

 

RF41: Modify Owned Organisation.

Applicable roles: Metadata Publisher and System Administrator 

Procedure:

Select ‘Organisations’ in the navigation bar. Select the owned Organisation you would like to modify. On the top right of the screen, you will see a green button, ‘Manage’. Select this button to edit the information about the Organisation. Make sure you are on the first tab, ‘Edit’. 

Make sure you are on the first tab, ‘Edit’.

Once you have edited the information about the Organisation, select ‘Update Organisation’.

Expected results: Successful modification of owned Organisation.

 

RF42: Modify Non-owned Organisation.

Applicable roles: System Administrator 

Procedure: 

Select ‘Organisations’ in the navigation bar. Select the non-owned Organisation you would like to modify. On the top right of the screen, you will see a green button, ‘Manage’. Select this button to edit the information about the Organisation.

Make sure you are on the first tab, ‘Edit’. 

Once you have edited the information about the Organisation, select ‘Update Organisation’.

Expected results: Successful modification of non-owned Organisation.

 

RF43: Delete Owned Organisation.

Applicable roles: Metadata Publisher and System Administrator 

Procedure:

Select ‘Organisations’ in the navigation bar. Select the owned Organisation you would like to delete. On the top right of the screen, you will see a green button, ‘Manage’.

Make sure you are on the first tab, ‘Edit’. 

Scroll down to the bottom of the page and select ‘Delete’.

Confirm that you would like to delete the Organisation.

Expected results: Successful deletion of an owned Organisation.

 

 

RF44: Delete Non-owned Organisation.

Applicable roles: System Administrator 

Procedure:

Select ‘Organisations’ in the navigation bar. Select the non-owned Organisation you would like to delete. On the top right of the screen, you will see a green button, ‘Manage’. Select this button to edit the information about the organisation.

Make sure you are on the first tab, ‘Edit’. 

Scroll down to the bottom of the page and select ‘Delete’.

Confirm that you would like to delete the Organisation.

Expected results: Successful deletion of a non-owned Organisation.

 

RF45: Assign Membership to Owned Organisation.

Applicable roles: Metadata Publisher and System Administrator

and

RF47: Assign Membership to Non-owned Organisation.

Applicable roles: System Administrator 

Procedure:

In the navigation bar, select 'Organisations'. From the 'Organisations' page, select the Organisation you are a part of and would like to manage. On the top right of the screen, you will see a green button, ‘Manage’. Select this button and then click on the third tab at the top of the page, ‘Members’.

To add a member, click on the orange button at the top of the screen, ‘Add Member’.

Add the email address or username of the new member you would like to add to the Organisation, and allocate them a role.

  1. A Publisher has full access permissions, being able to configure and maintain all aspects of the EMC and the DCPR of the organisation.
  2. An Editor has permission to create, edit and delete metadata records on the EMC in the Organisation they are a member. However, they are not allowed to publish metadata records to make them public.
  3. A Member is a registered user that has been made a member of an organisation, and they can view metadata records of that organisation that have not been made public.

Once you have filled in the relevant information, select “Add Member”.

Expected results: Assigning membership to a registered user or a new user in an Organisation.

 

RF46: Modify Role of Owned Organisation Member.

Applicable roles: Metadata Publisher and System Administrator 

and

RF50: Manage Role of Owned Organisation Member.

Applicable roles: Metadata Publisher and System Administrator 

and

RF51: Manage Role of Non-owned Organisation Member.

Applicable roles: System Administrator 

Procedure:

In the navigation bar, select 'Organisations'. From the 'Organisations' page, select the Organisation you are a part of and would like to manage. On the top right of the screen, you will see a green button, ‘Manage’. Select this button.

Then click on the third tab at the top of the page, ‘Members’.

Here you will be able to see all members within that Organisation, change the permissions of existing members and, add new members to the organisation. To change the role of an existing member, click on the little tool icon associated with the user.

Select the drop-down bar under ‘Role’ and choose the role you would like to allocate to the user. Select ‘Update Member’.

Expected results: Successfully modify and manage the role of an Organisation member.

 

RF48: Revoke Membership to Owned Organisation.

Applicable roles: Metadata Publisher and System Administrator  

and

RF49: Revoke Membership to Non-owned Organisation.

Applicable roles: System Administrator 

Procedure:

In the navigation bar, select Organisations. From the 'Organisations' page, select you are a part of and would like to manage. On the top right of the screen, you will see a green button, ‘Manage’.

Select this button and then click on the third tab at the top of the page, ‘Members’.

Here you will be able to see all members within the Organisation, change the permissions of existing members, delete members and, add new members.

To delete an existing member, click on the little red cross associated with the member you would like to remove from the organisation and then select 'Confirm'.

Expected results: The membership of an organisation member being revoked.
